Usage and Configuration
Easily manage and display events from one or more SharePoint calendars using the Calendar Web Part. This guide walks you through setup, customization, and usage features to help your team stay organized and informed.
Add a Calendar Source
You can connect any SharePoint calendar from within the same site or site collection to your calendar web part.
Steps:
Edit the Web Part on your SharePoint page.
In the configuration pane, click "Add Calendar".
Choose a calendar list from the current site. You can select from:
Modern SharePoint calendar lists
Classic calendar lists
Event lists with date/time columns
Pick a color for the selected calendar source to easily identify its events in the list
Confirm and save your settings. Events will load automatically and display in the calendar web part.
Setting the Calendar Event Colors
Customize how your calendar web part looks by adjusting highlight colors for important visual elements. These settings apply globally across the entire web part, not per individual calendar source.
Available Color Options:
Current Date Highlight Color Highlights today’s date on the calendar so users can easily identify where they are in the timeline.
Selected Date Highlight Color Used when a user clicks or taps on a specific date. Helps indicate the active or focused day.
Event Date Indicator Color Marks dates that contain one or more events. Useful for scanning the calendar and spotting activity at a glance.
Each color setting includes a visual color picker, allowing precise customization to match your site’s theme or brand.
Remove a Calendar Source
To remove a SharePoint calendar from the web part:
Edit the web part.
Go to the list of configured sources.
Click the remove (trash/bin) icon to the calendar you wish to delete.
Save your changes.
The events from the removed list will no longer appear in the calendar.
All Day Events vs Time-based Events
All Day Events: These span the entire day without specific start/end times. They appear at the top of each day in the calendar, usually in a highlighted or banner style.
Time-based Events: Scheduled with start and end times. They are positioned in the day’s timeline and sorted accordingly.
Time Zone Handling
The calendar web part aligns with SharePoint and browser-based time zones to ensure consistency:
Automatic Conversion: Events are shown in the user’s local time based on their browser settings.
No Manual Configuration Needed: SharePoint handles the base time zone, and the web part adjusts it for display.
This ensures event times are reliable and consistent, regardless of the user’s location.
Max Items Displayed
There is no limit to the number of events displayed. When you click on a specific date, all events matching that date will be listed, providing a complete overview.
Recurring Events vs One-time Events
One-Time Events: Displayed based on their scheduled date and time.
Recurring Events: Only the next occurrence is shown to prevent clutter, ensuring the calendar remains relevant and concise.
Upcoming Events
Instantly view upcoming workshops, meetings, and events without having to click through dates. Our intelligent event preview showcases the most relevant upcoming activities, helping you stay informed and prepared at a glance.
